More information about getting to Kiawah is available here.
By now, you may be aware that we have had great difficulty in accomodating people at the resort on Saturday evening, December 11th. The reason for this is that a marathon is taking place on Kiawah Island on Saturday, December 11th, and the resort is almost completely booked for that night. We allowed some people (fewer than 100) to register for Saturday night before we discovered this snafu, and we have managed to find accomodations for those people. However, we can't accomodate more people at the resort on Saturday night.
Unless you have already received a separate email confirmation message from Ann Chervenak guaranteeing that you have accomodations for Saturday night, we do NOT have a reservation for you on Saturday night.
It has come to our attention in the last few days that some people are under the mistaken impression that they have accomodations at Kiawah Island on Saturday. To avoid mix-ups on Saturday night, if you have NOT received an email confirmation for Saturday and believe you should have accomodations at Kiawah, PLEASE contact either Ann Chervenak (annc@isi.edu) or Amin Vahdat (vahdat@cs.duke.edu) to check the status of your reservation.
We are very sorry for the confusion and inconvenience caused by these Saturday night problems. For those who do not have a reservation at the resort on Saturday, we are suggesting the following alternatives:
The information about changing accomodations only apply to those persons that have confirmed reservations for Saturday night.
Unfortunately for us, there is a marathon being run at Kiawah on Saturday afternoon, which has left the resort almost completely booked for Saturday night, December 11th. This was unknown to us when we originally accepted Saturday reservations. Because there are very few rooms available, we found accomodations for most of you in rental houses on Saturday night rather than the villas we are using for the rest of the conference. As a result, almost everyone will have to change accomodations on Sunday. We apologize in advance for this large inconvenience. We could not avoid it.
Most of the housing for Saturday night and all of the housing for Sunday through Tuesday is in the East Beach part of the resort. However, the East Beach Front Desk will be closed on Saturday. So, you should proceed to the West Beach Front Desk to check-in on Saturday. Security guards will direct you to that area. Shuttle vans will be available to drive you from the West Beach Front Desk to your villa, if needed. To request a shuttle van for transportation, you can dial extension 1000 at any time.
Kiawah encourages Saturday guests to arrive no earlier than 4:00pm, which is the normal check-in time at the resort. We are told, "On Saturday, the parkway to East Beach will be virtually non-existant as it will be occupied by approximately 700 runners."
For Saturday night only, almost everyone is assigned to a single room. This is regardless of whether you requested a double-occupancy room, a single-occupancy room, or a single villa upgrade. Only a few single-room villas were available for Saturday night. You will have been notified in a separate email message if you received such acommodation. For those who did not receive an upgrade to a single villa that they requested, ACM will refund the price of the upgrade. We also put a few people in double-occupancy rooms when we knew that twin beds were available.
We did our best to satisfy room-mate and villa-mate preferences, but these were somewhat more difficult to satisfy on Saturday with the limited housing available. Kiawah says that they will not be able to accomodate any room/villa mate changes on Saturday.
On Sunday, you will have to check out of your original room and check-in to your new room. You should do both of these at the East Beach Front Desk.
Just to make our lives more difficult, the check-out time at Kiawah is at noon, and the check-in time is not until 4pm. Kiawah will make the rooms available to us on Sunday as soon as they are available and clean, but there is no guarantee that you will be able to get into your room until 4pm. You will be able to check your luggage with the bellstaff at the front desk on Sunday.
Again, our most sincere apologies for the inconvenience this will cause. Fortunately, the forecast is for a nice day at Kiawah if we all end up spending a few hours exploring the beach and the resort. The current weather forecast for Sunday is partly cloudy with highs of 63F/17C and lows of 45F/7C.
Ann Chervenak (annc@isi.edu) will be on-hand or reachable by the hotel staff if there is any difficulty with your check-in. We hope that all will run smoothly.
An invitation to all those staying at the Kiawah resort or elsewhere in the Charleston area:
All registered attendees are invited to a Saturday Night Student Reception hosed by IBM Research from 7:30 - 9:30 in Brigantine 1-2. Wine, cheese, and beer will be provided. The Brigantine room is evidently a long walk from the main area. Those of you who are staying at the conference center can arrange for transportation (on demand) by dialing 1000. Those of you who are not staying at the conference center will have to arrange your own transportation. You can ask the security guards for information on the location of the reception.
Check-in time at Kiawah Island is 4:00pm. Sunday arrivals should proceed to the East Beach Front Desk. All accomodations for the days of the conference (Sunday night through Tuesday night) are located in the East Beach area, which is near the conference center. Shuttle buses are available to take you from the Front Desk to your villas. You can request a shuttle at any time by dialing extension 1000.
All registered SOSP participants are invited to our kick-off reception from 6pm to 9pm in the Van der Hoorst rooms in the main conference center. Appetizers, wine, beer and soft drinks will be served.
